Adding Real Estate Marketing fields to a View

EurekaWare adds more than 50 new fields to your Contacts forms.  You can look at this information by opening individual contact records, or you can use custom Views to sort your contacts so that you can see the information that's most important to you. For example, you can create views to show all of your Sphere of Influence contacts or all the property data your contacts want to buy.  In order to get the full value of Microsoft Outlook as real estate marketing software, it is critical that you fully understand the value and power of creating custom views. 

Follow these steps to create a custom view:

  1. To display the contact list in the Phone List view, click the phone list in the navigation pane, to the left of your Contacts window.

  2. Click the Customize Current View hyperlink. The Customize View: Phone List dialog box appears.

  3. Click the Fields button. The Show Fields dialog box appears.

  4. (Optional) If there are any fields in the right pane that you don't want, select them and click <-Remove.
  5. Open the Select available fields from list, and then select "Forms ..." at the bottom of the list.

  6. Click the EurekaWare form on the left "Personal Forms" panel and then Click Add to add it to the "Selected Forms" panel on the right.

  7. Select Close to return to the Show Fields window.
  8. Select a EurekaWare custom field in the left pane and click Add->.  The EurekaWare custom fields are added to that view.

  9. (Optional) Rearrange the fields in the right pane with the Move Up or Move Down buttons.
  10. When you're finished customizing the fields, click OK. Then click OK to confirm.

Sorting and Filtering your real estate marketing fields

A simple way to organize your contacts is by sorting them on the Phone List view (or any tabular view) by clicking the Column heading.  The example below shows a view sorted by Referral source.

You can filter a list of contacts so that only those contacts matching certain criteria are displayed.  You can then save this View for easy access in the future.  For example, using filters you can create a View that only displays Contacts from a specified zip code, or Contact Type equals Buyer.  Outlook comes with several standard views as well as the ability for you to create your own.  Once you have created a filtered view, you can also use it to create a mailing list.

For example, to create a list that only include Mortgage Brokers (a EurekaWare Contact Type) follow these steps:

  1. Select the contact folder where you wish the view to be applied.
  2. Go to View > Arrange By > Current View > Define view, as shown below. (In Outlook 2002 go to View > Current View > Define View.)

  3. Click New to create a completely new view. Alternatively, select a view then Copy to make a copy of a view or choose Modify to modify the selected view.
  4. (Note: As a rule of thumb, it’s preferable to copy, then modify Views instead of modifying existing views. This allows you to reset the default views and not lose your customizations. The exception is when you want to modify a default view and have it applied to all existing folders.)

  5. Name your new View.
  6. Select a View type. The Table View type is recommended for mailing lists as it displays all contacts in a basic list.
  7. Press OK to close the New View window
  8. The Customize View window appears.
  9. Click on Filter to limit the contacts that appear in the View to only those that are Mortgage Brokers.
  10. Click on the Advanced Tab to find a EurekaWare Real Estate field.
  11. Click on Field in the Define More Criteria section.
  12. Move your cursor over the EurekaWare field group but do not click

  13. A large list of all the custom EurekaWare real estate marketing software fields appears.

  14. Select your desired field for filtering.  In this example, we will select ContactType.
  15. Set the Condition field value to Contains and the Value field to Mortgage Broker.

  16. Press the Add to List button.
  17. Press OK to close the filter window.
  18. Press OK to close the Customize View window. 
  19. Press Apply View on the Custom View Organizer window.
  20. Your filter has been applied.  Only Mortgage Brokers appear on your screen.  A new View has been added on the Current View window that you can easily select in the future.  Try this same process with other EurekaWare real estate marketing software fields.
